The OpportunityThe Senior Training and Communication Specialist (“Senior Specialist”) will independently manage and execute training and communication projects related to training services provided by Seyfarth at Work. This role requires a proactive approach to identify and implementing process improvements and cost-saving measures. The Senior Specialist will work with minimal supervision, demonostrating initiative and leadership as it relates to Salesforce regulation and operations, buisness process creation, data analysis, internal operations and logistics for training day events, eLearning management, material auditing and management, pitches and proposals, marketing events and webinars, and producer development and scheduling.
The Day-To-DayScheduling:
- Audit logistics for training events to ensure a seemless trainign can occur and proactively resolve any issues related to logistics.
- Provides completed logistics information, client policies, training materials and delivery specifications to trainers and event producers for all in person and virtual instructor led trainings prior to each training event.
- Manage external technical event producer team. Responsible for development, training, contracts, and weekly scheduling of event producers.
Materials:
- Own the customization process for materials such as scenario cards, powerpoint presentations, role plays, name cards and workbook covers and edits or update course workbooks in conjunction with external printing vendor. Engage in complex design, in conjunction with Seyfarth at Work’s external design team.
- Orders materials and props for on-site training events.
- Manages file sharing and document version control for training materials.
Database Management
- Maintain accurate billing information in Salesforce including prepare contracts and notifying relationship partners.
- Owns vendor management for Salesforce processes, buisness process updates, and implement new and improved workflows to improve buisness efficiency and reliability.
- Manages and oversees Adobe Connect and technology updates and communicates updates to necessary individuals. Engages with external vendor to track Adobe Connect products and relationship.
- Maintenance efforts including save client documents, material files, post-training evaluations and notes in internal database. Accurate data entry into Seyfarth at Work’s CRM system, and overseas in-house inventory of training props.
Other
- Engages in business development efforts, including composing detailed proposals and presentations for new and existing clients, drafting templates and working documents, customizing course descriptions or training announcements for clients’ internal use, updating marketing materials and websites.
- Assists with DII (and potential future similar organizations) - planning meetings, hosting webinars, assisting with development and design of decks, co-managing DII website, co-managing membership.
- Utilizes buisness analytics skills to capture and draw conclusive and detailed excel reports.
- Tracks trainer and producer progress and performance through the use of internal surveys.
- Completes other projects as assigned.
You Have- Excellent writing and proofreading skills.
- Ability to coordinate tasks and communicate effectively with clients and partners.
- Ability to master new computer concepts and applications.
- Strong client-focused business skills including written and verbal communication skills are essential. Ability to engage in proposal writing and editing within a compliance services environment.
- Superior organizational and project management skills, attention to detail, and the ability to multi-task in a fast-paced environment with accuracy meeting tight deadlines.
- Ability to organize and prioritize assigned tasks, adapt to rapidly shifting priorities, and meet deadlines.
- Demonstration of initiative in creating solution-oriented improvements in existing processes, procedures and practices.
- Ability to work independently, yet thrive in a collaborative, entrepreneurial, team-based culture and support and promote an atmosphere of mutual respect with a “can-do” attitude.
- Demonstrated resourcefulness and self-directed behavior; a talent for listening actively and well.
- Working knowledge of MS Word, Excel, PowerPoint (including substantive PPT design experience) and Outlook required. Knowledge of SalesForce and design programs a plus.
- Advanced knowledge of AdobeConnect, Zoom, Webex, Teams platforms.
- Able to work overtime, and overnight hours as needed.
- 4-7 years of work experience, with prior experience in administration position required.
- Bachelor's Degree Required

Location Specific LanguageBoston, MA: The full time salary range for this role is $80,000 - $85,000 annually, which is based on a 40 hour work week.
Chicago, IL: The full time salary range for this role is $80,000 - $85,000 annually, which is based on a 40 hour work week.
New York, NY: The full time salary range for this role is $93,000 - $95,000 annually, which is based on a 40 hour work week.
This is the lowest to highest salary we in good faith believe we would pay for this role in the locations listed above at the time of this posting. An employee’s pay within the salary range will be based on numerous factors including, but not limited to, relevant education, qualifications, experience, skills, geographical location and business or organizational needs. This job is also eligible for an annual merit increase and bonus pay.
